Learn how you can preset dates for when you want your workflow to be paused

In this video, I demonstrate how to set up workflow pauses for specific dates, such as holidays or personal time off. By accessing the Global Workflow Settings, you can easily schedule annual pauses for messages to prevent them from being sent out during designated times.

Objective of this video is to show users how to pause workflows for specific dates such as holidays or planned time off to prevent messages from being sent out during those periods.

Pausing Workflows for Specific Dates

  1. Introduction

    • Purpose: To be able to pause workflows for specific dates including dates that repeat annually.

  2. Accessing Global Workflow Settings

    • Click on the Workflows tab.

    • Navigate to Global Workflow Settings tab on top of the screen.

  3. Setting Annual Dates

    • Choose specific dates like 12/24 for Christmas Eve, 12/25 for Christmas Day, 12/31 for New Year's Eve, or 1/1 for New Year's Day etc.

    • Select dates to pause workflows for messages not to be sent out

  4. Selecting Workflows to Pause

    • Choose which workflows to pause: All Workflows or All Published Workflows.

    • Select the dates to pause for each chosen workflow.

    • IMPORTANT if you'd like the bot to still respond please do not pause the following workflows "Inbound message intake, and Process Message"

  5. Saving and Activating the Pauses

    • Save the settings to ensure workflows are paused annually on selected dates.

    • Confirm that on the specified dates, none of the workflows will be published.

  6. Utilizing the Feature

    • Use this feature for recurring events or preset times when messages should not be sent out.

    • Can be applied to various scenarios by adjusting the date ranges.

  7. Limitations

    • Up to 15 dates can be selected for pausing workflows.

    • Simplifies the process by allowing pausing all workflows from one centralized location.

    • Maximum allowed difference between the start and end date is 15 days.

    • A Workflow should not be part of two or more date ranges that are overlapping.

    • Pause feature is available for Admin roles only.
