In this video, I walk you through editing the settings for initial SMS workflows. I explain the importance of time frames, re-entry options, and contact time zones. I highlight the significance of setting up the time window and days of the week for effective workflow operation. Pay attention to the details as we delve into optimizing workflow settings for efficient communication.

The objective of this video is to show users how to edit the workflow settings for the initial SMS workflows, ensuring that the messages are sent out within the specified time frames and that the workflow operates smoothly.

Please ensure all workflow updates or changes are completed before adding contacts to the workflow. Any changes made to the workflow settings will not apply to contacts already in the workflow. Similarly, contacts currently at a wait event will not be affected by any changes made to that event.

Editing the Initial SMS Workflow Settings

  1. Introduction to SMS Workflows

    • Initial SMS workflows have similar settings.

    • Time frames indicate when initial messages are sent.

    • The Initial SMS Workflow is made up of the Ben, Jen, Sarah and the Initial workflows.

  2. Settings Overview

    • Toggled settings: Allow Re-entry, Multiple Opportunities, Stop-on Response.

    • Allow Re-entry for contacts to re-enter the workflow.

    • Multiple Opportunities for contacts with multiple opportunities.

    • Stop-on Response should always remain off so that it does not interfere with OfferBolt Bot and/or automation.

  3. Time Zone and Time Window

    • Contact time zones for message timing based on the contacts timezone.

    • If there is no timezone entered for the contact it will default to the account timezone.

    • Time window is defaulted to (9 a.m. to 8 p.m.) for workflow operation. This ensures all sms events are able to execute as sms messages 2-7 send out at different times of the day.

  4. Wait Events

    • Wait events are used for contact entry into the workflow and message timing.

    • The first wait even start and end times currently coincide with the Intial sms timeframes.

    • Set days of the week for event operation.

    • Wait events are used for message pacing, it makes the message timing look more natural and better for engagement.

  5. Initial Workflows

    • Settings for the initial SMS, Ben, Jen and Sarah workflows are all the same.

  6. Initial Workflow

    • Three different time frames within one workflow.

    • Similar settings and wait events for each time frame as Ben/Jen/Sarah.

    • Ben/Jen/Sarah workflows combined into one workflow.

    • Corresponding templates for each time frame.Ben=9-12 Jen =12-4 Sarah = 4-8

  7. Workflow Adjustment

    • Making changes within the workflow before contacts are added.

    • Wait event changes will not take effect for any contact currently on that specific event, will only apply to new contacts that move to it.
